Automations Overview
Set up automations that notify you on new leads, react to repeated pixel activity, and update pipeline stages without manual inbox monitoring.
Linkssi automations react to CRM and Smart Sites events so follow-up happens on time without manual inbox monitoring. Live triggers: form submitted, booking created, repeat page views, return visitor, and time on page.
Automations align with Pro and Premium plans where lead capture and Smart Sites pixel are enabled. They complement — not replace — your sales process.
How it works
Define an automation with a trigger (what happened), optional conditions (filters), and actions (what Linkssi should do). Examples:
- Confirmation email to the lead plus owner notify when a form is submitted
- Team alert when a booking is confirmed (tags the lead
booked) - Hot-lead notify when a known contact views a page three times
Configure from Dashboard → Smart Sites → Automation. System starter templates ship for common scenarios; customise copy and timing to your brand voice.
Setup overview
- Ensure Pro+ with at least one form, booking page, or pixel-tracked site live.
- Open Dashboard → Smart Sites → Automation.
- Enable or customise a starter (or create your own) — pick trigger (e.g. form submit).
- Add actions — email, stage change, tag, or team notification.
- Enable and test with a dummy submission and pixel browsing session.
- Monitor Leads and Contact timelines for expected effects.
Plan requirements
Automations tied to lead capture and Smart Sites pixel require Pro or Premium. Free and Starter lack the underlying triggers (no CRM, no external pixel).
Best practices
Start with the default form follow-up before building complex chains. Write human subject lines; automation should feel personal.
Tip: Combine pixel "visited pricing" with form submit for hottest leads — rep prioritisation without scoring spreadsheets.
Review the Activity tab and lead notes monthly; broken forms silently stop triggers.
What is not automated yet
Pipeline stage-changed as a standalone trigger, SMS actions, and a WordPress one-click plugin are not shipped. Install the pixel snippet manually (or via GTM) on external sites.
Measuring success
Track time-to-first-response on new leads before and after enabling notifications. Automations should shorten response time, not replace personal follow-up on high-value deals.
Example automation recipes
| Trigger | Action | Outcome |
|---|---|---|
| Form submitted | Email lead + notify owner | Faster first response |
| Booking created | Notify team + tag booked | Pipeline stays current |
| 3× page views | Hot-lead alert | Rep prioritisation |
Common mistakes
Enabling automations before pixel or form is production-tested. Expecting automations to send from your domain without SPF/DKIM setup on custom email — verify sender settings. Duplicating Zapier and native automations for the same event — pick one path to avoid double emails.
